Refund & Cancellation Policy

1Introduction

This Refund & Cancellation Policy ("Policy") governs cancellations, refunds, rescheduling, payment reversals, and related matters for bookings made through the Bookethcloud platform ("Platform"), operated by Bookethcloud Private Limited ("Bookethcloud", "Company", "we", "our", or "us").

By making a booking through the Platform, you agree to this Policy.

2Role of Bookethcloud

Bookethcloud provides an online platform that enables users to discover and book activities, classes, events, facilities, and services offered by independent Organizers.

Unless expressly stated otherwise, Bookethcloud is not the organizer, instructor, venue owner, or service provider responsible for delivering/providing the booked activity.

Organizers of such booked activity/event are responsible for providing the booked services and for honoring cancellation and refund obligations of the customers who booked the same through our platform, if any.

3Scope

This Policy applies to:

• Activity bookings
• Sports facility bookings
• Fitness and gym bookings
• Yoga and wellness classes
• Dance and music classes
• Workshops
• Events
• Coaching sessions
• Membership bookings (where applicable)
• Other services offered through the Platform

4Cancellation by the User

A user may cancel a booking through the Platform, subject to:

• The cancellation policy as applicable to the specific Organizer.
• Any cancellation deadlines displayed before booking confirmation.
• Applicable fees/charges or deductions for such cancellations disclosed at the time of booking.

Late/last minute cancellations or no-shows may result in reduced or no refunds, depending on the Organizer's policy and applicable laws of the land/by-laws of Bookethcloud platform’s Refund & Cancellation Policy.

5Cancellation by the Organizer

An Organizer may cancel a booking due to reasons including:

• Instructor unavailability.
• Venue closure.
• Safety concerns.
• Equipment failure.
• Weather conditions.
• Low participation.
• Force majeure events.
• Operational reasons.
• Any other reason making it impossible for the Organizer to conduct the event/activity so promised.

Where an Organizer cancels a confirmed booking, the user may be entitled to a refund, credit, or rescheduled booking, subject to the Organizer's policy and applicable laws of the land/by-laws of Bookethcloud platform’s Refund & Cancellation Policy.

6Cancellation by Bookethcloud

Bookethcloud may cancel or suspend bookings where necessary to:

• Prevent fraud.
• Protect user or Organizer safety.
• Comply with legal obligations.
• Address payment failures.
• Resolve duplicate or erroneous bookings.
• Protect the integrity and security of the Platform.
• In case of any upgrades to the Platform is underway.
• Any dispute arising with the Organizer with regard to User’s privacy, payment default, lack of quality service to the user or violation of NDA/MoU by the Organizer.

Where Bookethcloud initiates a cancellation, any refund will be handled in accordance with this Policy and applicable law.

7Refund Eligibility

Refund eligibility depends on:

• The Organizer's cancellation policy.
• The timing of the cancellation.
• The reason for cancellation.
• Whether the booking has already been used.
• Applicable legal requirements.
• Kind of service/activity.
• Any non-refundable charges/fees/taxes already made to statutory authority/third party for organizing such event.
• Rush bookings of the same event/activity.
• Number of cancellations requested for the same event.

Refunds may be available in situations including:

• Organizer cancellation.
• Duplicate payment.
• Technical failure resulting in incorrect charges.
• Failed booking where payment was successfully collected.
• Incorrect payment amount due to a system error.
• Other circumstances where a refund is required under applicable law.

8Situations Where Refunds May Not Be Available

Refunds may be denied where permitted by applicable law if:

• The user fails to attend a booked activity without cancellation ("no-show").
• The cancellation occurs/is demanded after the Organizer's permitted cancellation deadline.
• The user violates the Platform's Terms & Conditions.
• Fraudulent and malicious activity is detected.
• The booking was obtained through misuse of promotions or discounts.
• The service has already been fully provided.

9Partial Refunds

Where permitted by the applicable Organizer policy, refunds may be partial rather than full. Any applicable deductions, such as cancellation charges disclosed before booking, will be communicated to the user.

10Processing of Refunds

Approved refunds will generally be processed using the original payment method unless otherwise required by law or agreed with the user.

Processing times may vary depending on:

• Payment method.
• Banking systems.
• Payment service providers.
• Public holidays.
• Regulatory requirements.

Bookethcloud is not responsible for delays caused solely by banks or third-party payment processors, server breakdowns, or technical glitches after a refund has been initiated.

11Wallet Credits and Promotional Benefits

Where Bookethcloud offers wallet balances, promotional credits, coupons, vouchers, or reward points:

• Their use will be governed by the specific terms applicable to those benefits.
• Promotional credits may be in the nature of single use, non-transferable, non-refundable, and may expire on a stipulated date & time.
• Wallet balances may be subject to separate wallet terms and applicable law.

12Chargebacks

If a user disputes a payment through their bank or payment provider:

• Bookethcloud may temporarily suspend the related account or booking while the matter is investigated.
• Users agree to cooperate by providing requested information.
• Fraudulent or abusive chargebacks may result in account suspension or termination.
• Bookethcloud affirms to co-operate for all such investigations by authorized agencies.

13Payment Failures

A booking is generally considered confirmed only after successful payment confirmation. Where payment fails:

• The booking may not be confirmed.
• Any pending authorization may be released by the payment provider according to its procedures.
• Users may need to retry payment.

14Booking Modifications

Where permitted by the Organizer, users may request changes such as:

• Date changes.
• Time changes.
• Participant changes (if allowed).
• Venue changes (where available).
• Seat changes (if applicable).
• Changes to finger foods, refreshments, beverages, parking facility or such event amenities, perks or hospitality services (if available).

Approval of modification requests is subject to availability for that event and Organizer’s policy for the same.

15Memberships and Subscription Plans

If the Platform offers memberships or subscription plans:

• Cancellation and refund terms specific to those products will be displayed before purchase.
• Unless otherwise stated or required by law, partially used membership periods may not be eligible for refunds/transfer.

16Force Majeure

Neither Bookethcloud nor Organizers shall be liable for delays, cancellations, or inability to provide services due to events beyond their reasonable control, including natural disasters, government actions, epidemics, pandemics, labor disputes, or failures of utilities or communications. Refunds in such situations will be handled in accordance with applicable law and the relevant Organizer's policy.

17Dispute Resolution

If you believe a refund has been incorrectly denied or processed:

1. Contact Bookethcloud Customer Support through the Platform.
2. Provide your booking reference and supporting information.
3. We will review the matter and, where appropriate, coordinate with the relevant Organizer.

If the dispute cannot be resolved through customer support, it will be handled in accordance with the dispute resolution provisions in the Bookethcloud Terms & Conditions.

18Changes to This Policy

Bookethcloud may update this Refund & Cancellation Policy from time to time. Material changes will be communicated through the Platform or by other reasonable means before they become effective where required by law. The updated version will be published with a revised "Last Updated" date.
